BE THE PLANNER THAT ALL THE VENDORS AND VENUES WHAT TO WORK WITH

3/24/2023

We're lucky enough to work with planners who already do this and more.
When your vendors feel respected they perform 1000% better, they do what they can to accommodate, and go above and beyond, when possible. Most of the time, vendors don't even interact with the couple or group until the day of set up or rehearsal, so you represent your client. What can you do to create that great relationship?

SHARE
When those highly anticipated professional shots come in, Don't forget to include and share with your vendors.
Along with the actual social media handles for all the vendors involved and what they provided. An easy to copy and paste list encourages vendor to POST POST POST. They will appreciate being able to show off all their hard work.

RESPECT
  • Let's start with policy. Every company operates differently. Review the vendor's SOPs (or standard operating procedures) and abide by it. Don't ask them to justify why they don't operate like "other" vendors. Respect their policy and they'll respect yours
  • Don't withhold information to avoid fees. It'll cost more in the end.
  • Pay the retainer to secure the date.
  • But most of all don't be moody. I grew up in a time when "leave your personal problems at home" was a thing. As the Planner, you set the whole vibe.

HANDLE WITH CARE
We include handling instructions with all of our contracts as well as reitterate them throughout the process.
We suggest you take photos before unpacking linens and or tableware and decor and review the instructions before handling. When in doubt, ask

Does it rain a lot in Hawaii? Is there a rainy season?

3/22/2023

Rain Rain Go Away

Yes and no, it depends. NO I promise you it's not as simple as that.
The Kona or "dry" side of the island gets about 20 to 35 inches a year. Not a lot at all,
but it's massive when it's on your wedding day and you're caught without a plan.

PLAN, have a plan B and have an emergency plan just in case. But above all Plan on planning thoroughly.

Along with the inconvenience of getting wet and cold if it rains at your wedding, there are safety concerns that you should pay special attention to. It's always a good idea to provide railings for steep steps and inclines, but especially important on a rainy day. You should also consider some mats where guests enter your covered area, weather it be a tent or your home, somewhere they can wipe off wet shoes to prevent slippping.
Can we talk insurance? I can't stress enough  that insurance is so important, but more important if you're hosting at your own home.

Rehearsal Dinner and the Destination Wedding

3/20/2023

Why a rehearsal dinner is highly recommended for destination weddings

Getting to know friends and family is a lifelong goal. However relationships form and take shape over years of interaction. So how can you speed up the process so your guests aren't awkwardly communicating or feel forced to make conversation? What are some of the ways to ease them into it.
  1. Have a rehearsal dinner. Although not all guests will attend the rehearsal, the dinner is a great way to bring everyone together before the wedding day.
  2. Plan ice breakers. Scavenger hunts and games make it easy to interact and start conversations.
  3. include a brunch the day after the wedding. A fun time for all to talk "about last night" over some delish Kona Coffee and local produce laid out in a feast for the eyes.
  4. Make group and individual activities available on your wedding website. If you contact vendors like Kona Boys and other local water sport or mountain activity companies, they are usisally happy to offer group rates for your enterage. Typically they'll give you a code to use on your website guests use the code to get the special rate when making their reservation.
  5. After party. There are a few late night locations here in Kona and at the resorts if you want to extend the fun beyond the 10:00pm curfew.

Be sure not to upstage the wedding day. What do we mean by that? Keep it casual and light.
